About the Role

Blackbird is looking for an Executive Assistant to provide high-level administrative and strategic support to our Founder / CEO. This role is critical in enabling our CEO to focus on strategic priorities by managing complex scheduling, coordinating key stakeholder relationships, preparing for high-stakes meetings, and driving cross-functional initiatives forward.

The ideal candidate is a proactive and highly organized individual who excels at managing shifting priorities and maintaining discretion with confidential information. They are resilient, intrinsically motivated, and demonstrate a self-starter attitude, capable of thriving in the fast-paced demands of a startup environment. They excel at anticipating needs, connecting dots across the organization, and serving as a trusted partner to leadership. With a creative mindset and innovative problem-solving skills, they approach challenges with resourcefulness and adaptability, driving efficiency and effectiveness in all tasks.

This role is based in NYC and requires you to be in office 5 days a week.

Responsibilities

  • Manage CEO's calendar, appointments, and complex domestic/international travel arrangements with impeccable attention to detail, including multi-stop itineraries, logistics, budgets, and on-the-ground adjustments

  • Own end-to-end meeting preparation including research, briefing documents, agendas, talking points, and post-meeting follow-up to drive efficiency and accountability

  • Serve as the secondary contact for office management tasks, including vendor management, office supplies, and workspace organization

  • Handle communications and manage investor engagements on behalf of the CEO

  • Serve as team liaison, triaging requests for CEO time and managing stakeholder expectations across the organization

  • Coordinate strategic, CEO-driven initiatives that span multiple departments, ensuring alignment and forward momentum

  • Provide board relations support, including preparing materials, managing board calendar, and coordinating with board members

  • Manage confidential information with discretion, handling high-level company strategy, personnel matters, and investor conversations

Requirements

  • 2-5 years of experience supporting senior executives in a dynamic, high-growth environment

  • Exceptional organizational skills, attention to detail, and the ability to anticipate needs

  • Excellent communication skills and the ability to engage professionally with all levels of staff and external contacts

  • Demonstrated ability to manage sensitive information with discretion and professionalism

  • Strong proficiency in Google Workspace (Docs, Sheets, Calendar) and experience with Slack, and other productivity tools

Nice to Haves

  • Experience in a startup or tech environment

  • Interest and experience in the restaurant or hospitality industry

  • Familiarity with office management software and tools

Pay Transparency Notice & Benefits

Depending on your work location and experience the target annual salary for this position can range from: $65,000 - $100,000 USD. This range does not include the equity component of the overall compensation package. Disclosure in accordance with New York City's Pay Transparency Law.

Full time offers from Blackbird may also include stock options, benefits (including medical, dental, vision, flexible time off, 401(k)), and some not-so-standard, extra-fun perks — subject to applicable taxes and based on eligibility.
